I am Talha Abid, a freelance automation developer in Lahore, working US hours for US businesses since 2019. Leads come from ads, forms, calls and chat. They should land in one CRM, get a reply in seconds, and be followed up until they buy or say no. I build that plumbing with GoHighLevel, n8n, Zapier, Make and the email platforms you already use.

What does CRM & Marketing Automation include?

CRM automation is the plumbing between your lead sources, your CRM and your email or reporting tools. I build it with n8n, Zapier or Make for small businesses and agencies whose leads arrive from several places and get copied by hand. You end up with every lead in one CRM, tagged by source and routed to the right person. A log shows when something fails.

A good fit if

  • Leads arrive from several sources and someone copies them by hand
  • Your Zapier bill or task limits keep climbing
  • Sales teams that need fair, fast lead routing with accountability

Probably not for you if

  • You run everything in GoHighLevel, where my GoHighLevel automation service is simpler
  • You have one form, one inbox and no plans to add more
  • You want a custom-coded CRM built from scratch

What changes for your business?

  1. 01

Every lead source feeding one CRM, deduplicated and tagged

  2. 02

Follow-up sequences that run for months without manual work

  3. 03

Reports that show where leads come from and which ones close

What does CRM & Marketing Automation cost, and what is in the quote?

Projects start at $397. Every item below is included. Nothing becomes an upsell later.

  • Process map and automation plan
  • CRM setup or cleanup: pipelines, fields, tags
  • Integrations with n8n, Zapier or Make
  • Email and SMS sequences in Klaviyo, ActiveCampaign, Mailchimp or GHL
  • Lead scoring, routing and notifications
  • Dashboards in Google Sheets or Looker Studio

CRM integration starts with a field map

Every CRM integration I build starts as a spreadsheet. One row per field: where it comes from, what it is called in the CRM, its format, and which system wins when two disagree. Phone numbers, dates and dropdown values cause most sync problems, so I settle those on paper first. I also pick the match key, usually email or phone, so the same person never becomes two contacts.

Then I build the flows one source at a time. Website form, Facebook lead form, call tracking, chat, booking tool. Each one creates or updates the contact, sets the source tag and opens a deal in the pipeline. I test with real submissions from each source and compare the CRM record to the original. Existing contacts are left alone until the new flows have run cleanly. You get the field map back as documentation, which the next developer will thank you for.

n8n automation as a Zapier alternative

Clients usually ask about n8n automation when the Zapier bill grows. Zapier charges by task, so a busy flow with many steps gets expensive. n8n can be self-hosted on a small server, where you pay for hosting and nothing per run. It also handles branching, loops, code steps and direct API calls well, which makes it a practical Zapier alternative for complex or high-volume work.

It carries a cost of its own: someone has to host it, update it and watch it. I set up the server or n8n cloud and add an error workflow that alerts you when a run fails. Credentials stay in n8n's own encrypted store. When I migrate, I rebuild one flow at a time and run old and new side by side before switching. For two or three simple flows I will tell you to stay on Zapier.

Lead routing rules your team will trust

Lead routing decides who gets the lead and how fast they hear about it. I build rules around what you already know at the moment of capture: service type, zip code, deal size, language or source. Round robin works for equal teams. Territory or skill rules work when it matters who takes the call. Every routed lead gets an owner, a task and a notification in one step.

Routing fails when nobody covers the gaps, so I cover them. Leads outside business hours go to an on-call person or get an automatic reply with a booking link. A lead untouched after a set time is reassigned and the manager is told. If GoHighLevel is your only system, my GoHighLevel automation service is the simpler fit. This service is for stacks with several tools that need to agree on who owns each lead.

CRM & Marketing Automation: the questions buyers ask.

n8n, Zapier or Make?

Zapier for simple, low-volume tasks. Make for cheaper multi-step flows. n8n when volume is high or the logic is complex, because you own it and it does not charge per task.

Can you migrate my automations off Zapier?

Yes. Moving to n8n usually cuts the monthly bill to near zero and is a fixed-price project.

Which CRMs do you integrate with?

I work most with GoHighLevel, HubSpot, ActiveCampaign, Klaviyo and Mailchimp. I can also connect any CRM that has an API or a Zapier, Make or n8n connector. Before quoting I check what your CRM plan allows, since some vendors limit API access or workflows on lower tiers. If a connection is not possible, I will say so before you pay anything.

Do I need to host n8n myself?

No. n8n offers a paid cloud version, and self-hosting is the option for owning the setup and avoiding per-run charges. If you self-host, I set it up on a small cloud server under your account, with backups, updates and an error alert. You own the server and the workflows. I hand over the logins and a short maintenance note.

What happens when an automation breaks?

You get told quickly and the data is kept. Every flow gets retries for temporary failures and an alert by email or Slack when a run fails. The payload is logged, so the lead can be replayed once the cause is fixed. Fixes within 30 days of delivery are included. After that I handle repairs hourly or on a new quote.

Can you clean up my CRM before automating it?

Yes, and it usually has to come first. I merge duplicates, standardize tags and field values, archive dead pipelines and agree a naming scheme with you. Automating a messy CRM only creates mess faster. Cleanup is scoped in the same fixed quote, which you receive within one business day. CRM automation projects start at $397.
